Managing payroll
Adding and editing an employee
The record of each person paid by the club: contract, insurance, children and fixed lines
Each person paid by the club has an employee record. It contains everything that does not change from one month to the next: the contract, the insurance, the children for family allowances, the lines repeated every month and the bank account. Payslips are calculated from this record.
Display the list of employees
In the left side menu, open Invoices, click Payroll and then the tab Employees.
The list of employees and their special cases
- The Active, Left / inactive and All buttons filter the list. An employee is "Left" as soon as their end date has passed.
- Contract: the monthly salary and the activity rate, or the hourly wage.
- Special cases: LPP, IJM, LAAC, minor salary and number of children.
Click a line to open the employee's record.
Create an employee
The employee must already have a record in the club (member, coach, staff…). If not, first create the person in member management.
- Click New employee.
- In Search for the person, type at least two letters of the surname or first name (several words possible), then click the person in the list.
- Plugin.ch copies the date of birth, the sex and, if it is in a custom field ("No AVS", "AHV-Nr"…), the AVS number from their record. Check them and complete the rest of the record (next steps).
- Click Save.
Search for the person among the club's records
A person can only have one employee record in the club. The required fields are the start date and, depending on the salary type, the monthly salary or the hourly wage.
Identity and contract
A monthly-paid employee at 80%
- AVS no.: 13 digits starting with 756. The check digit is verified; the number appears on the salary certificate and the AVS lists.
- Date of birth: essential, it determines when AVS contributions start, retirement and the LPP. See the article Special cases: minor salary, young people, pensioners, LPP.
- Sex: used to determine the retirement age.
- Job title: printed on the payslip.
- Salary type: choose Monthly salary (fixed salary) or Hourly wage (the hours are entered each month).
- Monthly: Monthly salary at 100 % (CHF) and Activity rate (%). The payslip multiplies the salary by the activity rate and prorates it by days when the employee joins or leaves during the month.
- Hourly: Base hourly wage (CHF), without holiday pay or 13th salary, which are added automatically.
- Hours per week (average): below 8 hours, the person is not insured against non-occupational accidents and no ANP is deducted. If left empty, ANP is deducted.
- Start date and End date: the end date stays empty while the contract runs. The last payslip is prorated and the balance of the 13th salary is paid on it.
Date fields open a calendar; the date is shown in the club's country format (for example 01.03.2026).
Holidays and 13th salary
A coach paid by the hour: 5 weeks' holiday and 13th salary paid twice a year
- Holidays per year (4, 5 or 6 weeks): for an hourly employee, sets the holiday pay added to each payslip, shown below the field (8.33%, 10.64% or 13.04%).
- Public holiday pay (%): hourly employees only, if the contract provides for it (often 0).
- 13th salary: turn it on if the contract includes a 13th salary, then choose when it is paid: Every month (1/12), Twice a year (June and December) or Once a year (December). In all cases, any balance is paid when the employee leaves.
- Also calculate the 13th salary on holiday pay: hourly employees only.
The calculations are explained in detail in the article The 13th salary and holidays for hourly employees.
Insurance
The categories offered come from the club's settings (see the article Setting up payroll).
Accident insurance, daily sickness benefits and calculated LPP
- Accident insurance (LAA): the category of your policy. Occupational accidents (AP) are paid by the club, non-occupational accidents (ANP) are deducted from the employee. Choose Not insured by the club if the person is not covered by your policy.
- Supplementary accident insurance (LAAC) and Daily sickness benefits (IJM): the category, or None.
- Occupational pension (LPP): three options.
- No LPP: no contributions;
- Pension fund amounts: enter the Employee share per month (CHF) and the Employer share per month (CHF) from your pension fund's annual statement;
- Calculated (plan rates): Plugin.ch calculates the contributions on the coordinated salary, using the age-based rates from the settings. For an hourly employee, also enter the Expected annual salary (CHF): the salary expected over the year, which decides LPP insurance (threshold) and sets a stable contribution every month.
- Minor salary: turn on for a person of contributing age who earns less than CHF 2,300 per year at the club and does not ask to pay AVS contributions.
The rules for the LPP, minor salaries and ANP are explained in the article Special cases: minor salary, young people, pensioners, LPP.
Children and family allowances
For each child entitled to allowances, click Add a child in the section Children (family allowances), then enter their first name and date of birth.
Two children and a representation allowance paid every month
- The child allowance is paid until the end of the month of the child's 16th birthday (20 if you turn on Unable to work).
- Turn on In education for a child in education after compulsory schooling: the education allowance is paid from age 15 until the End of education date if it is entered, at the latest until age 25.
- Turn off Paid here if the other parent receives the allowances.
The amounts are those of the canton entered in the settings. Allowances are added to the salary without being subject to contributions, and are only paid if the month's salary reaches the legal minimum (CHF 630); otherwise the payslip shows a warning.
Lines repeated every month
The Lines repeated every month section contains the amounts that recur on every payslip: expense allowance, function allowance, private share of a car… Click Add a fixed line, choose the Pay item, add a detail if needed, then the Amount.
These lines are added to each new payslip. If the previous month had a line with the same pay item, the amount from the record is used.
Payment, salary certificate and status
The bottom of the record: IBAN, certificate boxes and status
- IBAN: the employee's account. It is checked and used to recognise the salary payment when the bank statement is imported.
- F · Free transport between home and work and G · Canteen meals / lunch vouchers: turn these options on if they apply; they are carried over to the salary certificate every year.
- Approved expense regulations: if the canton has approved expense regulations for the club, enter them (for example "approved by the canton of VS on 01.01.2026"); this is printed in box 13 of the certificate.
- Remarks (box 15): a text added to box 15 of the certificate, after the automatic notes.
- Active employee (existing record only): turn it off when the person no longer works for the club. No new payslip can be created for them any more, and their history is kept.
Edit an employee
Click the employee in the list, change what needs changing, then click Save. The employee's payslips still in draft are recalculated immediately with the new record; payslips already approved do not change.
A salary change during the year is simply made on the record, before preparing the payroll for the month concerned. When someone leaves, enter the end date: the employee is no longer included in the payroll of the following months.
Warning: for a change to apply to a month already approved, you must first cancel the approval of the payslip. See the article Correcting an approved payslip.
